Inviting Your Team and Managing Roles

AssetCompass has two roles: Admin and Viewer. That's it. We've kept it simple on purpose — role sprawl is how you end up with a permission matrix that nobody understands and everybody ignores.

The Two Roles

Admin is for your IT team — people actively managing the inventory. Viewer is for everyone else who needs visibility: a finance manager who wants to see asset values, a department head checking what their team has, an auditor who needs a read-only look.

Sending an Invite

Go to Settings → Team. You'll see your current members and any pending invitations.

Enter an email address, select a role (Admin or Viewer), and hit Invite. The person gets an email with a link to accept. Once they accept, they'll show up in your member list and can immediately access the org.

If the invite email gets lost, you can resend it from the pending invitations list. If they never needed access after all, revoke the invite before it's accepted — pending invitations don't expire automatically.

First invite tip: Start with Admin for your IT team, Viewer for anyone else. You can change roles at any time — promoting a Viewer to Admin takes two clicks. Don't agonize over it.

Changing a Member's Role

In Settings → Team, find the member and click the role badge next to their name. Select the new role and confirm. The change takes effect immediately — no re-login required on their end.

When Someone Leaves

Offboarding is the moment you most want a clean asset record. Here's the right order:

  • Go to People and find the person. Their profile shows every asset currently assigned to them.
  • Reassign or check in each asset. Don't just delete the person — you'll lose the assignment history.
  • Once all assets are cleared, go to Settings → Team and remove them from the org.

Removing a member doesn't delete them from the system or the asset history — their name stays on past events in the activity log. It just revokes their access. The historical record of who had what stays intact.

If you can't access Settings → Team, you're probably a Viewer, not an Admin. Ask your org's admin to either send the invite or upgrade your role.

How Many Admins Should You Have?

At least two. If the only Admin leaves and you lose access to their email, you're locked out of your own org. Make sure at least one other person has Admin access as a backup — ideally someone whose email isn't tied to an individual (like an IT alias) if your org has one.
