Cancellation, Exports, and Data Portability
Your data belongs to you, not us. This article explains how to get it out, what happens if you cancel, and how long we keep things around. No gotchas.
Exporting Your Data (No Need to Cancel First)
You can export your data at any time — you don't have to be leaving to take your inventory with you. Exports are useful for offline backups, finance reporting, compliance audits, or just checking your data in a spreadsheet.
Exports are available in CSV format from three places:
- Assets — Go to the Assets page, apply any filters you want (or none), and click Export. You'll get a CSV with all asset fields including purchase cost, warranty dates, and current assignment.
- People — Go to the People page and click Export. Includes all people records with their associated assets.
- Locations — Go to the Locations page and click Export. Includes asset counts per location.
There is no single "export everything" button that packages your entire org at once — you export by section. If you need a complete backup, run all three exports.
How to Cancel
If you need to cancel your subscription:
- Go to Settings → Billing
- Choose Downgrade on the Free plan, or cancel from the billing portal
- Your paid features continue until the end of the current billing period
You won't be charged for the next period. There's no cancellation fee, no multi-month commitment, and no "please talk to our retention specialist" wall to get through.
If you're canceling because something isn't working the way you expected, email us at hello@assetcompass.co before you do. We'd rather fix the problem than lose you.
What Happens to Your Data After Cancellation
Nothing gets deleted. When a paid plan (or your 30-day trial) ends, your organization moves to the Free plan:
- All your data stays. Assets, people, locations, events, photos, and receipts are all kept, and you can keep viewing, editing, and exporting them.
- Free plan limits apply to new additions. Free covers up to 25 assets in service (retired and disposed assets don't count) and 1 team member. If you're already over that, nothing is removed — you just can't add more assets or invite more people until you're under the limit or you upgrade again.
- Paid-only features switch off. QR labels and AI receipt scanning need a paid plan. The Claude connector keeps working on Free.
The one exception is inactivity. If nobody signs in to a Free account for 90 days, we email the account's admins. If it stays unused for another 30 days after that, we may close the account and delete its data. Signing in once resets the clock.
Deleting Your Account Entirely
If you want your account and all associated data deleted, email us at hello@assetcompass.co and we'll handle it within 5 business days. Include the email address on the account so we can find it quickly.
This is a hard delete — we don't archive it, and we can't restore it afterward.
Migrating to Another Tool
If you're moving to a different system, your AssetCompass CSV exports are standard and should import cleanly into any ITAM tool that accepts CSV. The columns are clearly labeled, dates are in ISO format, and there's no proprietary encoding to deal with.
The Assets export is the one that matters most — it's a flat file with one row per asset and all the fields you'd need to recreate your inventory elsewhere.
